Position Title: Treasurer (volunteer position)
Reports To: Board of Directors and President
Role Summary
The Treasurer is a key member of the Board of Directors, responsible for the financial stewardship of Sparrow Arts Society. This is a hands-on role within a small, volunteer-led organization. The Treasurer ensures that the Society maintains transparent, accurate, and responsible financial practices and supports the President with bookkeeping and QuickBooks as needed.
Key Responsibilities
1. Financial Oversight
Monitor the financial position of the Society and communicate any risks or concerns to the Board.
Ensure internal controls and financial practices are sound and appropriate for a small non-profit.
Review monthly bank statements, financial reports, and account reconciliations.
2. Budgeting
Collaborate with the President to prepare the annual budget.
Present the draft budget to the Board and support tracking performance against it.
Participate in financial planning to support programs and sustainability.
3. Reporting
Ensure monthly or quarterly financial reports are prepared and reviewed by the Board.
Present year-end financial statements at the Annual General Meeting (AGM).
Assist with preparation for annual financial reviews or audits if required.
4. Compliance and Filings
Ensure timely and accurate submission of all government filings (e.g., CRA, Alberta registries).
Oversee appropriate documentation of revenues, expenses, and funder requirements.
5. Bookkeeping & QuickBooks Support
Support the President in maintaining up-to-date and accurate records in QuickBooks.
Help with account coding, reconciliations, and transaction tracking as needed.
6. Fund Development Support
Track restricted funds and provide necessary financial data for grant applications and reporting.
Contribute to financial planning for donations, sponsorships, and fundraising initiatives.
7. Financial Policies
Assist in developing and maintaining financial policies and procedures.
Review and recommend updates to signing authority, reimbursement processes, and financial controls.
Time Commitment
Attend 6–8 board meetings per year (virtual or in person).
Approx. 4–6 hours per month, with additional time during budgeting, grant reporting, or AGM prep.
Participate in annual planning sessions and AGM.
Be available for check-ins with the President as needed.
Skills & Experience
Ideal candidates will have:
Financial literacy and experience with budgeting and reporting.
Familiarity with QuickBooks or willingness to learn.
Understanding of non-profit or charitable financial practices (asset, not required).
Strong organizational and analytical skills.
A commitment to transparency, accuracy, and ethical stewardship.
Ability to communicate financial matters clearly to a diverse Board
